The Paris Peace Forum is a multi-stakeholder platform launched in 2018 that aims to respond to global challenges through, in particular, a large-scale annual event. Throughout the year, the Forum works to strengthen the governance of global commons such as climate, space or oceans, and to improve international management of global challenges, particularly those of digital and disruptive technologies. Its annual event, in November, brings together heads of state, government and international organizations, as well as leaders of civil society and the private sector, to discuss political initiatives and concrete projects, with an emphasis on the participation of the global South.

The team of the permanent secretariat of the association, composed of varied and diverse profiles (diplomacy, public relations, communication, programming, operations, etc.), is currently looking for a Human Ressources manager to reinforce its teams.

The person recruited will be responsible for the following tasks:

 

PRIMARY RESPONSIBILITIES 

Recruitment Process Management :

  • Preparation of job descriptions in coordination with directors ;
  • Posting job advertisements ;
  • Screening responses to published job offers;
  • Conducting phone an in-person interviews;
  • Preparing employment contracts and administrative files for employees;
  • Liaising with training organizations for Apprentices and Interns;
  • Welcoming new employees.

Administrative Management of Employees (employees, apprentices, and interns):

  • Managing the daily administrative and social aspects of employees:
    • Monitoring work hours, vacation time, sick leave, maternity leave….;
    • Managing training plans;
    • Organizing mandatory medical visits ;
    • Monthly ordering of meal vouchers;
    • Monitoring transportation receipts;
  • Managing employee departures:
    • Handling departure procedures: resignation or dismissal;
    • Preparing off-boarding paper works;
  • Supporting the “Paris Peace Forum” throughout the recruitment strategy and talent development management.

Payroll Management:

  • Preparing and verifying the accuracy of payroll (including for employees based abroad and officials seconded), using PayFit software and in collaboration with an accounting firms;
  • Declaring and monitoring employer obligations to social organizations (payroll software configuration and monitoring);
  • Managing employee’s benefits (meal vouchers, transport, etc.);
  • Regularly monitoring HR compliance, especially regarding regulatory thresholds:
    • Relationship with employee representatives (CSE) and mandatory negotiations;
    • Ensuring compliance with GDPR regulations: archiving and maintaining employee files;
    • Keeping mandatory notices updated in compliance with employee rights to information;
    • Managing Health and Safety Risks at Work (DUER) and insurance contract follow-up.

 

PROFILE

  • Education: Bachelor Degree in HR or related ;
  • At least 5 years of relevant experience ;
  • Payroll experience
  • Proficiency in English and French, both written and oral (C2 level or equivalent required) ;
  • Mastery of office software (Microsoft Office Suite) and digitally savvy.
  • Knowledge of French social laws and regulations

CONDITIONS

  • Salary based on experience.
  • Full-time contract with a starting date of as soon as possible.
  • Meal tickets and reimbursement of 50% of the cost of transportation.
  • The offices of the permanent secretariat of the Paris Peace Forum are located in Paris (15th arrondissement). It will be possible to telecommute for a maximum of 2 days per week, subject to approval by management.
