Administrative and Accounting Assistant (M/F)
The Paris Peace Forum (PPF) is a multi-stakeholder platform launched in 2018 that aims to address global challenges, notably through a large annual event. Throughout the year, the Forum works to strengthen the governance of global commons such as the climate, space, and oceans, and to improve the international management of global issues, particularly those related to digital technology and disruptive innovations.
Its annual event, held in November, brings together heads of state, government leaders, and leaders of international organizations, as well as representatives from civil society and the private sector, around policy initiatives and concrete projects, with a particular focus on the participation of the Global South.
The permanent secretariat team of the association, composed of diverse and versatile profiles (diplomacy, public policy, communications, programming, operations, protocol, etc.), is currently seeking a Administrative and Accounting Assistant to strengthen its Support unit.
MAIN MISSIONS AND RESPONSIBILITIES
The position requires a high level of versatility and is structured around two main functions: accounting support and office administration.
- Accounting management
- Sorting and verifying invoices before recording
- Assigning analytical accounting codes
- Uploading and entering invoices into Pennylane
- Preparing supplier invoice payments through the banking interface
- Analyzing and checking transactions in the suspense account
- Preparing funding requests and issuing donation receipts
- Administrative management and general services
Supplies management
- Monitoring office supplies and collecting staff needs
- Requesting and comparing quotes
- Monitoring orders and deliveries
Equipment management for staff (computers, phones, headsets, etc.)
- Stock management, exchanges, distribution to staff, and urgent needs handling
Organization of business travel
- Booking transportation and accommodation
- Coordinating logistics with traveling staff
- Checking connectivity tools (laptops, phones)
Support for internal seminars and office social events (e.g., Christmas party)
- Identifying venues and catering services
- Assessing technical constraints
- Suggesting activities when appropriate
Maintenance of office premises and related services
- First-level maintenance (changing light bulbs, contacting repair services)
- Monitoring service providers: cleaning, coffee machines, water dispensers
- Monitoring technical providers: printers, telephony, fire extinguishers, boilers
- Reviewing quotes when providers change
Mail and shipping management
- Postage and tracking
- Sending and receiving packages
PROFILE
- Three years of professional experience in administrative and accounting management
- Training in accounting, management, or administration (BTS/DUT or equivalent)
- Fluency in French and a good level of English (English-speaking staff)
- Strong sense of responsibility and strict respect for confidentiality
REQUIRED SKILLS AND QUALITIES
- Knowledge of and interest in general accounting
- Knowledge of administrative procedures
- Versatility, organization, autonomy, and rigor
- Team spirit, curiosity, and a positive attitude
- Basic proficiency in office tools (Excel, Word)
CONDITIONS
Full-time fixed-term contract (CDD) that may lead to a permanent contract (CDI). Position to be filled mid-April.
